Supplement Co-Packing and Fulfilment: Handover, Release and Dispatch
Identify who checks incoming material, approves the retail version and authorises distribution.
Follow the pack through the service handover
| Decision | Information to request | How to use the answer |
|---|---|---|
| Incoming product | Batch identity, status, quantity and relevant documents | Confirm whether it is released, quarantined or awaiting a decision. |
| Components | Container, label, carton and artwork revisions | Resolve discrepancies before packing begins. |
| Packing operation | Count or fill basis, coding and reconciliation | Identify records and checks needed for the actual operation. |
| Storage and orders | Conditions, inventory status and dispatch instructions | Keep product status distinct from commercial availability. |
| Exceptions | Returns, damaged stock, shortages and complaints | Agree records, responsibility and traceability after dispatch. |
Follow a packaging discrepancy through dispatch
Illustrative purchasing exercise, not a customer case, test result or quotation.
Packed units arrive at the dispatch stage with a label revision different from the order. A useful fulfilment handover identifies who notices the discrepancy, who can hold the goods and who authorises the next action.
- Receipt: Incoming product and component identifiers and the receiving check.
- Pack decision: Approved artwork, count, traceability and discrepancy handling.
- Dispatch: Release authority, shipment reference and the documents transferred.
Decision output: Describe these responsibilities in the service scope. “Fulfilment included” does not establish product release authority or responsibility for an artwork change.
A fulfilment service should not silently assume the role of the product’s quality-release authority. Put that decision and the evidence required into the agreement. Review who approves relabelling or repacking and how a change affects the original batch documentation. Compare proposals using the same physical pack and dispatch scope.
